The HCI Project (www.hciproject.org), funded by USAID, is a follow-on to the long-running Quality Assurance Project and is dedicated to improving health, population, and nutrition services through technical support around the world. Currently active in 26 countries, the HCI Project is a global leader in the advocacy, development, and promotion of cost-effective methods to design and improve healthcare services and systems in developing and middle income countries. HCI is managed by the division of URC called the Quality and Performance institute (QPI), which also manages small related projects in a number of countries.
Job Description
URC seeks a detail-oriented and efficient Travel Coordinator to manage travel arrangements for its Health Care Improvement (HCI) Project. This is an entry-level, full-time position with benefits based at URC headquarters in Bethesda, three blocks from the Bethesda/Red Line metro station. The ideal candidate will be interested in international travel for business and/or tourism purposes in developing countries.
The Travel Coordinator will be in charge of making travel reservations—primarily international travel—to and from developing countries. S/he will work with selected travel agencies, URC’s Finance department, administrative managers, and travelers to make arrangements, process associated logistics, track traveler status, and ensure compliance with company and federal government procurement regulations.
Primary Responsibilities
The HCI/QPI Travel Coordinator’s primary responsibilities will include but are not limited to the following:
- Make travel arrangements for project staff and consultants including: making flight reservations, preparing travel advances, obtaining necessary approvals and documentation for international travel, preparing visas, preparing travelers for departure, reconciling travel expense statements, and overseeing timely and accurate submission of trip reports
- Track status of all travel throughout the process from approval through submission of deliverables, including maintaining travel schedule across the project
- Ensure compliance with URC and U.S. government rules and regulations
- Participate in the Event Management Team to ensure travel issues are addressed for all major events
- Participate in the Administrative Management Team to aid in improvement of internal processes, policies, and procedures
- Provide other administrative and clerical support and assist coordinators and technical staff with other projects and research as needed.
Minimum Qualifications
- Genuine interest in pursuing a career in travel reservations, travel management or logistics highly desired; prior experience in or exposure to making and monitoring travel arrangements preferred
- Globally minded with meticulous attention to detail and a sense of responsibility for people he/she puts on airplanes traveling all over the world
- College degree (AA or BA) or equivalent experience strongly preferred
- Proficiency in Microsoft Word, Excel, and PowerPoint required
- Strong organizational, communication and customer service skills required
- Proficiency in Spanish, French or other languages used in international development field is a plus; familiarity with USAID regulations and procedures preferred
- Eligibility to work long term in the United States without visa sponsorship required. Local candidates are preferred since relocation assistance is not available
